Control collaborator rights with Documill Negotiate

Efficiently manage document collaboration by defining exactly who can edit, comment, review, or approve your documents. By assigning specific roles at each stage of the workflow—such as Editor, Commenter, and Approving Editor for the editing phase, followed by Reviewers and Approvers—you ensure that every contributor has the appropriate level of access. Once a project goes live, collaborators receive direct access to the document via email or Slack and are kept on track with automated notifications regarding task deadlines.

Different roles carry specific permissions to maintain document integrity throughout the process:

  • Editors: Can suggest changes with the help of redlining and provide context by leaving comments.
  • Commenters: Can participate in discussions and respond to others, but are prohibited from making any document changes or resolving comments.
  • Approving Editors: Hold higher authority, allowing them to make direct edits with or without redlining, resolve or reopen comments, and accept or reject suggested changes to prepare the document for review.

In the final stages, Reviewers and Approvers ensure the document meets all necessary standards before execution. Reviewers process all tracked changes and comments from the editing step, with the power to resolve discussions or return the project to a previous stage if further changes are required. Once a Reviewer signs off, the document moves to the Approver, who can then grant final approval or request additional modifications before sending the document for e-signing.
