epunkt had an old, underdeveloped CRM. It included a contract creation and e-signing solution but it was not flexible enough. A large part of the sales team left it unused when producing many different types of contracts for customers.
Instead, they’d use Word templates and have the contracts signed manually, often failing to follow the corporate brand guidelines. This led to a great deal of inefficiency when creating the contracts: time and effort were wasted due to a lack of automation and constant app hopping.

When document automation delivers not…
“We had an old, underdeveloped CRM, which had a contract creation and e-signing solution but it was not flexible enough. A large part of the sales team did not use this tool and the process it came with. Instead, they’d use Word templates, sending out PDFs to our B2B customers, who’d then sign manually”, says Mario Koplmüller, Head of Digitalization, epunkt.
There was no standardized process and the acceptance of the tool was very low.
“With our service, we have several business models and our contracts have many options for conditions and special agreements. That makes things a little complicated. At the same time, we want to have transparency, so that our customers can see, which special packages they are getting from us.”
All this is challenging in terms of presentation – especially since epunkt aims to handle administrative matters as quickly as possible, with the least possible effort.
“When your sales colleagues start to store their templates locally, you quickly end up with a wide range of variations that can no longer be kept up to date. In addition to the lost time, the quality of the documents also suffers.”

“We knew that there had to be solutions that met our needs much better, so we started looking for one”, says Mario.
“We wanted a flexible document automation tool that could be learned quickly and that we could configure and expand ourselves. The user experience of our sales staff was important and so was that of our customers, in keeping with our key values. No hurdles, just easy-to-understand operating elements!”

Automation and e-signing for numerous contract types
“Due to the width of epunkt’s services, there are many types of customer contracts to deal with, for example, assignments for individual talent, offers for packages of recruiting projects and annual framework agreements”, says Mario.
The sales consultants create an opportunity for each transaction in Salesforce and choose the correct scope and conditions for it. Based on these, when generating a contract upon a click of a button, Documill automatically selects the right template and fills in the appropriate dynamic fields with data.
The document is then signed electronically by the customer and the sales consultant.

Future expansion to the recruitment department?
And are there plans to roll out new use cases in the future?
“We may implement some kind of approval workflows within the sales organization for special discounts or something like that”, says Mario.
“But more than that, we are thinking of implementing new Documill use cases in the recruitment department.”
