Staffing and recruitment company Team Rockstar IT needed to accelerate and ease its personnel’s work, especially in the hiring and sales departments. A new all-in-one platform was implemented, covering both the ATS and CRM sides.  

As a part of it, Documill Dynamo was deployed to accelerate and stabilize Team Rockstar IT’s previously clumsy document procedures with automated document generation. It also added automated workflows of its own, like for electronic signing.

Challenge: need for speed and precision

“We had used other software for generating documents and esigning. On the HR side, templates had to be uploaded in the PDF format. And when you wanted to make changes in text, you needed to merge all the dynamic fields again in the file from scratch. Lots of repetitive work. Our HR agents had a hard time just ensuring that all our contracts were up to date”, says Nancy van Heeswijk, Application Manager, Team Rockstars IT. 

Team Rockstars IT clearly needed a more productive and robust document automation solution. But that was just a part of a bigger change – the company wanted to renew its ATS and CRM completely.

Enter Byner and its go-to doc gen app: Documill

The company decided to migrate to Salesforce-based Byner.  

Documill came as a part of the package as Byner’s go-to document automation tool.  

“We deployed Documill on both the ATS and CRM sides. We have used it to build quite a few templates – and we have quite a few on either side”, says Nancy. 

Initially, the deployment of the Byner solution was down to the supplier single-handedly. Eventually, however, Team Rockstars IT turned to Documill for direct support. 

Knowing their product inside out, the Documill people were very helpful and friendly.”

One app for many uses

Documill serves a variety of professionals in different teams. While the Salesforce admin is creating and maintaining all documents, recruiters, salespeople and sales support persons are all sending out documents to candidates and clients.  

“In the recruitment flow, an offer is first made to the candidate. Once we get the approval, an employment contract is sent out to the candidate.”  

The process is much more straightforward for both the candidates and recruitment agents. “The candidate can sign the contract without accessing Team Rockstars ITs’ system or needing our email address.” 

As for the salespeople, they don’t usually need to edit documents before sending. In case editing is necessary, the admin can strictly define the parts where it is allowed. 

“Achieving that kind of control is very much of a win”, says Nancy.

The results: productivity, accuracy, quality

To put it all in a nutshell, Documill has accelerated and stabilized Team Rockstar IT’s document workflows. Aside from high-quality document generation, it has also added automated workflows of its own, like for electronic signing. The results show as: 

  • higher productivity and efficiency 
  • improved accuracy and quality of content 
  • better customer service, especially for the job candidates 
  • greater control over the document contents and procedures. 

And the future?

As it stands, Team Rockstars IT has already implemented Documill for all types of use cases it now needs. The solution is used by multiple teams in both the sales and hiring departments. 

Still, there are some new templates that need to be created, so the users can achieve even more, faster and easier.

I think the software is really helpful and easy to use for the end users – those people who send out the docs or just sign them.”
